Office Assistant

$14-$17 an hour

You think moving at a fast pace is a welcome challenge.  You visualize the owner's and company's schedule as a living thing and how it needs constant tending to ensure the wellbeing of everyone in the company.  You understand how social media impacts a company's reputation and profitability.  You enjoy keeping customers in the loop about their project at all stages.  You are up for any challenge; you are a leader, not a secretary.

We're looking for someone extraordinary to play an integral role in our business by managing our customers from first sales contact through the final invoice and beyond.

We are looking for someone who's willing and interested in continually learning and improving themselves, who can maintain a positive attitude while working hard at a fast pace, and who values meeting deadlines and maintaining positive relationships with internal and external clients.

Expectations for our Office Assistant:

  • Protect the owner's time by proactively managing his schedule
  • Enable the owner to be as productive as possible by taking on all administrative duties
  • Ensure the financial integrity of the business and help us improve our bottom line
  • Give the owner breathing room to have more time for customer interaction and employee training and interaction
  • Be the primary point of contact and communicate comfortably but professionally with clients, employees, subcontractors and vendors
  • Manage customer expectations through regularly scheduled communication
  • Create job packets and monitor progress until they are closed out
  • Facilitate and coordinate marketing efforts through various platforms, including email, social media, and printed materials
  • Schedule crucial activities for the company, such as materials delivery, customer projects, and sales appointments
  • Administer new employee on-boarding and other human resources functions
  • Collaborate with the owner to improve company efficiency and quality

Skills and Experience for our Office Assistant:

  • Demonstrated proficiency in Microsoft Office
  • Excel spreadsheet creation and development
  • Minimum of 2 years QuickBooks experience required
  • Excellent computer skills and the ability to learn new technology
  • Excellent customer service skills
  • Associates degree or Bachelor's degree a plus
  • Ability to pass a background check
  • Ability to type 35+ wpm
